Letting Policy

1. General Conditions.

1.1. Applications for the use of Jubilee Centre must be made to the Bookings Secretary, responsibility for approval or otherwise rests with the Pastor and leadership team. The person signing the application will be deemed to be the hirer, and must accept responsibility for compliance with these conditions.

1.2. The Bookings Secretary will notify the applicant of approval or otherwise, and the relevant charge for the use of the facilities required. The Pastor and leadership team reserve the right to alter letting charges after lettings have been agreed, and the hirers will be notified of any increased charges. The hirer must settle the account at least seven days prior to the letting.

1.3. The Pastor and leadership team reserve the right to cancel any letting if the accommodation is required urgently. No compensation will be paid to the hirer in the event of a cancellation, but any fees already paid will be reimbursed.

1.4. Any intention on the part of the hirer to cancel a letting must be notified to the Bookings Secretary at least twenty four hours before the letting is due to take place. In the event of the hirer failing to give notice, no refund will be made.

1.5. The Pastor and leadership team reserve the right for the Bookings Secretary or a representative to enter the premises at anytime during the letting.

1.6. No structural alterations are to be made to the premises, fixtures or fittings. Notices or materials must only be fixed on boards provided.

1.7. The hirer is responsible for providing supervision during the letting, and must satisfy the Bookings Secretary that these arrangements are adequate.

1.8. The hirer will ensure that all Safeguarding requirements are met, including carrying out a covid risk assessment.

1.9. The hirer must be present at all times and must accept responsibility for any damage to grounds, buildings, fixtures, fittings, furniture, and equipment resulting from the letting. Every precaution must be taken to avoid such damage, and the hirer will be required to meet the cost of making good any damage, however caused. All damage must be reported to the Bookings Secretary.

1.10. Hirers are responsible for arranging their own insurance for:

Any loss or damage to Jubilee Centre grounds, buildings, fixtures, fittings furniture and equipment resulting from the letting.

 

 

1.11. If it is intended to organize a public performance, the hirer must ensure that appropriate licences are obtained.

1.12. If you or anyone present watch, record or download TV programmes whilst on the premise’s you will need to obtain a TV licence.

 

1.13. The sale of alcohol on or off the premises is not permitted, although a limited amount of wine may be consumed which is ancillary to a substantial plated meal, with permission of the Pastor and leadership team.

1.14. Games of chance are not permitted.

1.15. Jubilee Centre premises must be left clean and tidy after use, refuse removed, and the building and its grounds vacated at the agreed time without excessive noise, and the premises secured.

1.16. Jubilee Centre is available for hire between 7.30am and 11pm including all set up and clear up.  Please ensure that due consideration is made for neighbours particularly when leaving late in the evening.

1.17. Jubilee Centre is not available for letting on a Sunday.

2. FIRE PRECAUTIONS.

2.1.  The hirer will ensure that all gangways, and corridors intended for exit shall be kept clear at all times. All exit doors will be available for exit whilst persons are on the   premises.

2.2.   Temporary electrical installations which are necessary for any function must comply with the applicable recommendations of the current edition (including amendments) of the following:

  1. The Institute of Electrical Engineers Regulations for the electrical equipment of buildings.
  2. The British Standards Institute Specification and Codes Of Practise.
  3. The Electricity Supply Regulations.
    1. All temporary electrical installations shall be disconnected from the permanent installation immediately after the occasion for which they have been used.

2.4     The use of pyrotechnics are not permitted.

2.5.   The hirer shall ascertain positions of, escape routes, fire alarm systems, and fire fighting equipment which will be in charge of a nominated person throughout the letting, that person will ensure that the appliances and equipment are always available for use.  An emergency plan checklist is enclosed for this purpose.

    1. At the end of a letting the hirer must ensure that there are no potential fire risks, all doors and windows are secured, taps turned off, electricity points turned off and lights extinguished.

2.7.    The whole of Jubilee Centre Premises are a non-smoking zone.
